Manage your calendar - don't let it manage you. That can be hard to do, especially in the nonprofit world where you consistently wear multiple hats, address issues as they arise, and work on tasks that may not have immediate impact or results but are strategic in nature for the work ahead. I am notorious for scheduling everything on my calendar, including dedicated time to work on projects and time-sensitive tasks and office hours for staff to seek me out, even if just to talk about the weather. Tasks not needing immediate attention can be moved—not deleted—and those requiring attention are blocked off, unable to be moved (without proper approval), and followed up appropriately to ensure they are "completed." Check, check, and success.

Personally, I find that when I get overly complicated or precious about my organization and prioritization, the system fails. Find a project management tool and file sharing that helps you work with your team. Meet regularly to reassess priorities and timelines. And then do the same thing for yourself. Find a tool to manage your work and store your info and everyday have a meeting with yourself to set your priorities for the day.
Effective time management is a cornerstone of productivity. Allocate specific time blocks for different types of work, such as strategic planning, fundraising efforts, and team management. This technique, often referred to as time blocking, helps create a structure that can protect you from the temptation of multitasking, which can dilute your focus and lead to inefficiency. One thing that is very helpful for me is having different types of work blocks throughout the day. It is challenging to write or design all day. It is also challenging to be in meetings all day. When there is a mix of inward and outwardly focused work, I am able to bring my best energy to both.
Interruptions are inevitable, but you can control their impact. Establish 'focus hours' where you are unavailable for non-urgent communications and can work undisturbed. Communicate these boundaries to your team and set up a system for handling potential emergencies during these periods. Additionally, consider turning off notifications or setting your communication tools to 'do not disturb' mode to maintain your concentration on the task at hand.
Delegation is not just about offloading tasks; it's about empowering others in your organization to take on responsibilities that suit their skills. By delegating effectively, you can free up your own time to focus on work that requires your unique expertise as a leader. Trust in your team's abilities and provide them with the resources and guidance they need to succeed independently.
