When we launched calling in Gmail back in August, we wanted it to be easy and affordable, so we made calls to the U.S. and Canada free for the rest of 2010. In the spirit of holiday giving and to help people keep in touch in the new year, we’re extending free calling for all of 2011.

In case you haven’t tried it yet, dialing a phone number works just like a regular phone. Look for “Call phone” at the top of your Gmail chat list and dial a number or enter a contact’s name.


To learn more, visit gmail.com/call. Calling in Gmail is currently only available to U.S. based Gmail users.

I use two Gmail accounts: one is my personal account and the other I share with my family (we use it to subscribe to groups like my children's classroom mailing list). Checking these two different accounts used to mean I had to sign out and back in to Gmail all the time. Not anymore. Instead, I can grant my personal account access to my shared family account and view, organize and send mail on behalf of our shared account.

We've offered email delegation for Google Apps accounts for a while — it's super useful for people who want their assistants to have access to read or respond to mail on their behalf. Now this functionality is available for anyone using Gmail. To grant access to another account, click the Settings link in the top right corner of Gmail. On the "Accounts" tab, you'll see a new section where you can "Grant access to your account." For example, below we've given hikingfan@gmail.com access to the hikingfanfamily@gmail.com account.


The account you add will get a verification email with links to accept or deny access. Once the account accepts and you've refreshed your browser or logged in and out again, you'll see a small down arrow beside the email address at the top right corner of Gmail which can be used to toggle between accounts — in this case hikingfan@gmail.com and hikingfanfamily@gmail.com.


Each account will open in a different browser tab or window so you can view both accounts simultaneously, all while signed into your primary account. When you send a message from hikingfanfamily@gmail.com while signed in as hikingfan@gmail.com, it will appear as being sent by hikingfan@gmail.com on behalf of hikingfanfamily@gmail.com.


Signing out of any one of the accounts will sign you out of all the accounts you're currently viewing, and, of course, you can revoke access at any time.



There are many times in life when a do-over can come in handy. Perhaps you clicked “Send” on an email that was better left unsaid, or “Delete” on a contact before realizing you still needed it. Just like Gmail lets you unsend a message, you can now have a second chance with your contacts too.

We’ve added a new feature to Google Contacts that allows you to revert your contact list and undo any mistakes made up to 30 days in the past. Let’s say you accidentally deleted a bunch of contacts or wiped the contact data from your Gmail account by mistake while syncing to another device. Visit Gmail’s Contacts section, select “Restore contacts” in the “More actions” menu, and choose the time you would like to revert to.


Your contacts will be restored to exactly the same state they were in at that time — any contacts that didn’t exist then will be deleted and any that have since been added will be deleted. Don’t worry, you can always undo this change by restoring again if you didn’t get the time right.



Last year, we launched a new mobile Gmail experience for iPhone and Android-powered devices. Since then, those of us who use Gmail in English could go to gmail.com from our mobile browsers and get most of the same features we’re used to in the desktop version of Gmail — including search, stars, labels, and threaded conversations.



Starting today, this updated version of Gmail for mobile is now available in 44 new languages. Check out the mobile blog for the complete list of languages and more info.



My parents have a history of bringing work with them when we go on family vacations. At first it was just a few paper documents to review at the beach...years later, a laptop...now a smartphone. They couldn’t let go for fear that a colleague might need to get a hold of them.

My folks aren’t the only ones frightened by the prospect of missing an important message when they’re away from their inbox -- there must be millions of people with the same concern. Not everyone knows that Gmail can help you relax when you’re on vacation by automatically notifying colleagues, friends, and family that you’re away (handy for the holidays).

To enlighten parents and families around the world about how basic technology can improve their lives, a handful of us at Google decided to create a website -- TeachParentsTech.org -- where “kids” of any age can send basic how-to videos to their moms, dads, uncles -- whomever. Here’s a video I made that walks you through how to set up an email auto-responder message:

When we first released Gmail in Android Market back in September, we said that you’d be getting new stuff faster, and we meant it. After getting thousands of comments on that release, we made a bunch of updates based on your feedback and today we’re launching Gmail for Android 2.3.2.

Priority Inbox

First of all, you told us that you love Priority Inbox and expect much better support for it on your phone. Now you can see important messages in a new Priority Inbox view.

This view includes all important messages in your inbox, regardless of whether you’ve read them or not. You can archive and delete conversations or mark them unimportant from there. You’ll notice the importance markers you’re used to seeing in the desktop version of Gmail, and you can also change a conversation’s importance using the menu. To switch between inboxes or labels, try tapping on the current label.

Ever wanted to know that you got an important message without taking your phone out of your pocket? Now you can set up your phone to notify, vibrate, or ring on just your new important mail (check out Menu > Settings > Priority Inbox).

While Priority Inbox on your Android phone doesn’t have all the features offered in the desktop version of Gmail, we think this is a good start and plan to add even more functionality moving forward.

Improved Compose

Since our last Market update, we adopted a few features related to composing messages from the desktop version of Gmail. Many of you asked for a better way to switch between replying to the sender to replying to all. Now, you can easily switch between reply, reply all, and forward while composing your response.


If you moved to Gmail from another webmail provider and want to continue to send email from that address, now you can send from any address you’ve configured in the desktop version of Gmail.



In addition, you can now respond to messages in-line.



You won’t need to wait for Gingerbread to get these updates. This version of the Gmail app works for Android 2.2 (Froyo) and newer releases in most countries. Dealing with time zones can be a headache. Whether you’re a regular traveler or trying to plan ahead for your weekend in Paris, it’s often difficult to keep track of time differences. We’ve heard your feedback and are pleased to announce a new addition to Google Calendar: event time zones.

With event time zones, you can specify the time zone for a given event. So when you’re home in Florida, you can more easily set up dinner with your friend in Paris for the following week. Events will appear on your calendar according to the current time zone you’re in, and when you change to your destination time zone they’ll be in the right place. Just click the “Time zone” link to the right of the date and time fields on the event page. You can even set up events which start in one time zone and end in another, ideal for those of you who fly often.



It's been a couple of months since we first launched Priority Inbox. Since then, we’ve heard from a number of you who’ve found it helpful in combating information overload, and we’ve seen evidence of this in aggregate too. Looking at median time in conversation view, we noticed that typical Priority Inbox users spend 43% more time reading important mail compared to unimportant, and 15% less time reading email overall as compared to Gmail users who don’t use Priority Inbox. We’re excited about the impact Priority Inbox can have, and we’re listening to your feedback in order to make it even better.

For example, one thing we heard is that you wanted to know why Gmail classifies certain messages as important. So starting today, when you hover over an importance marker () you’ll see a short explanation (e.g. “Important because you marked it as important” or “Important mainly because of the people in the conversation.”).


You also told us that you thought Priority Inbox didn’t learn fast enough, so we've made it much more responsive to your manual corrections.

Keeping in touch with family during the holiday season can be challenging for anyone, but it’s especially difficult for military families with loved ones serving around the country or overseas.

Gmail’s built in video chat and free calls to the U.S. and Canada can help keep friends and family in contact regardless of how far apart they may be. To make staying in touch this holiday season even easier for military families, we’re offering a $10 calling credit to help them reach their loved ones serving abroad.

These international call credits can be used to make calls with Google Voice or from right inside Gmail, and will provide families with roughly 30 minutes of call time to Afghanistan, 60 minutes to Iraq, or hundreds of minutes to many countries in Europe and around the world.

To make this possible, we’ve partnered with Blue Star Families and Sesame Street, two organizations dedicated to supporting service members and their families.

To be eligible for $10 calling credits, military family members must:
  1. Be a member of either Blue Star Families or Sesame Street Family Connections — registration is free for all military families
  2. Provide their Gmail address
  3. Enable calling in Gmail and accept the terms of service OR have an existing Google Voice account
  4. Complete this registration form by December 22, 2010

We recognize the sacrifices military family members make when loved ones serve abroad, and we’re proud to help make it a little bit easier for families to stay connected over the holidays.

At this time, Google Voice and calling in Gmail are available in the U.S. only.



If you subscribe to a lot of mailing lists and like to keep an empty inbox, muting (or preventing a conversation from re-entering your inbox) is an essential feature. We just made a few changes that should make muting even better.

First up is “Smart Mute,” a new Gmail Labs feature that helps solve the problem of conversations that just won’t die. You know the ones I’m talking about: those emails with 10+ people cc’d where everyone replies all, but you lost interest five emails ago. The current mute behavior doesn’t do well in these situations since the messages are addressed to you. You end up with muted messages in your inbox, and the only way to prevent these emails from coming back to your inbox has been to create a custom filter for a specific conversation.


If you enable “Smart Mute” from the Labs tab in Gmail Settings, muted conversations will only appear in your inbox if a new message in the conversation is addressed to you and no one else, or a new email in the conversation adds you to the “To” or “Cc” line. Once you enable Smart Mute, mute behavior will change across all versions of Gmail: web, mobile, Android, etc. Try it out and let us know what you think.

Since you’ll likely be muting more than ever, we also added easier ways to unmute muted conversations. Previously, the only way to unmute a conversation was to move it to your inbox -- not super intuitive and useless if the conversation was already in your inbox. Now there are two new ways to unmute a conversation. The first is through an "Unmute" option in the "More actions" menu. You’ll see this when you view or select a muted conversation.

If you’re viewing a muted conversation, you’ll see the second new way to unmute: the "Muted" label next to the subject line now behaves just like all other labels. Clicking on the "X" will remove the Muted label and unmute the conversation.


Hopefully these changes will make it easier to mute and unmute conversations.



When we added emoticons in Gmail, you responded with a nice big smile , but then you asked for more. So we added hundreds more emoticons through Gmail Labs. “But alas!” you cried. “How can I ever keep up with so many different choices? I am overwhelmed by the sheer immensity of emotion , amusement , and cute animals that Gmail has to offer." Well, don’t despair, fine purveyor of emoticons. There is now a solution: “Recently Used Emoji” in Gmail Labs, which keeps track of the ten most recent emoticons you’ve used, and saves them for easy access. To turn it on, just visit the Labs tab of Gmail Settings.


No more searching through dozens of cat faces for the one that says, “I miss you, but I’m still ambivalent about our weekend plans.” You can now triumph over the plethora of emoticons, and easily add a pile of emotion to any email that you choose — let us know how it goes.



Time is one of our most precious resources. Despite their necessity, meetings tend to vary in importance for different attendees. John might be really interested in his team’s weekly meeting, whereas Jane, who is working on a unrelated project, may want to skip it.

Guests’ roles in meetings tend to vary as well. Some people have to be there to lead the meeting or help make decisions, whereas others are gathering information they may be able to digest just as well via the notes. Without knowing which attendees are crucial and which are optional, it can be difficult to know which meetings you really need to attend.

That’s where Google Calendar’s new “Optional attendees” feature comes in. With a couple clicks, you can openly communicate the importance of a meeting for each attendee. Click on the “Make some attendees optional link” above the guest list and then toggle the role of each attendee by clicking the icon next to his or her name. So far, this feature has helped us more effectively manage our own time on the Calendar team — we hope it does the same for you.



If you visited the Gmail log-in page recently, you may have noticed that things looked a wee bit different. We decided to give this page a bit of a facelift and updated a few of Gmail’s other pages while we were at it. Our goal was to keep a familiar look while freshening up the graphics and trimming down the text (we cut out over 250 words in the process).

We also updated the Gmail logo, brightening the colors and making it more in line with the latest Google logo:

Jake: Are you insane? Please, just give me something usable. If I want flashy game-like graphics, I can use High Score. If I want something dapper for my friends to look at, I can use Shiny. If I want cartoon characters hanging out here and there in my Gmail, I can use Zoozimps. I just want something dead simple.
Manu: What about stripping the Gmail interface to the bare bones, like these two new themes, Basic Black and Basic White?


Jake: That’s better. The dark one may be good for my eyes.
Manu: Great! Do you have an Android phone?
Jake: Yes.
Manu: Then you may like this Android theme too. How about that?


Jake: Nice! Some graphics but still subtle. Give me more.
Manu: Relaxing tree tops? This one ain’t blinking.


Jake: Not bad! What about something that would feel more handmade?
Manu: You’re in luck, sir. I have this cool Marker theme in store for you. Very unprofessional.


Jake: Nice — I’m gonna stick with this one for now.

Go to gmail.com from your iPhone and you’ll notice two improvements we’ve rolled out over the past few weeks. First, scrolling is snappier: the speed of scrolling reflects the speed of your swipe gesture. This is helpful for long conversations where a few quick flicks will get you to the information you need much faster than before. Second, the toolbars stay on screen while you’re scrolling rather than moving down into view after each scroll. Being able to access your toolbars from any point on the page should make it easier to triage your email and move around the app.


If you use Gmail in your mobile browser a lot, you may have noticed that we recently tried several different variations of these buttons. We‘ve iterated on the design and made improvements based on your feedback. If you have more suggestions, please post them in our forum or, if you use Twitter, mention #gmailmobile and we'll take a look. If you’re a developer and are interested in learning about the Javascript and HTML techniques we used to do this, we’ll post an article to code.google.com/mobile in the coming weeks.

You can see these improvements by visiting gmail.com from the browser of iPhone and iPod touch devices running iOS4 (English-only for now). And if you like Gmail in mobile Safari, make getting to it easier by tapping the “+” at the bottom of the screen and then “Add to Home Screen.” (Don’t see the new changes yet? Try clearing your cache and refreshing the page.)



Today, whenever you open an email in your Gmail inbox and then archive or delete it, you’re taken back to your inbox. Many of you have asked for the ability to instead go to the next conversation. Keyboard ninjas will already be familiar with the “]” and “[“ keyboard shortcuts for archiving and going to the next/previous conversation. For everyone else (and for people who frequently mute or delete conversations rather than archive them) we’re offering a new feature in Gmail Labs called “Auto-advance,” which automatically opens the next conversation after you archive/delete/mute the one you’re on.

To get started with “Auto-advance” go to the Labs tab in Settings, enable it, and click the “Save changes” button. By default, “Auto-advance” will advance to the previous (older) conversation in your inbox -- perfect for people who read their newest mail first. If you usually read your oldest email first and would rather advance to the next (newer) conversation, you can change the direction from the General Settings tab.


Hopefully this will save you some time the next time you have to deal with a crowded inbox. Try it out and let us know what you think.

The way Gmail organizes mail into conversations is like cilantro. You either love it -- and, like me, enjoy the nice citrusy, herbal finish it gives to everything from salsa to curry -- or you hate it. And those of you who hate it hate it enough to launch sites like nocilantro.com and ihatecilantro.com (“an anti cilantro community”), where you can hate it together.

But my fondness for cilantro pales in comparison to my love for Gmail’s conversation view, or message threading. I haven’t had to wade through multiple messages to follow a conversation in years. A centithread hasn’t filled up the entire first page of my inbox in almost as long as I can remember. Having all the replies to an email (and replies to those replies) grouped with the original message simply makes communicating so much easier.

It turns out not everyone feels the same way. And just as an outspoken minority has banded together in unison to declare their distaste of one of nature’s most delicious herbs, some of you have been very vocal about your dislike of conversation threading. So just like you can order your baja fish tacos without cilantro, you can now get Gmail served up sans conversation view. Go to the main Settings page, look for the “Conversation View” section, select the option to turn it off, and save changes. If you change your mind, you can always go back.


This feature will be rolling out over the next few days so if you don’t see it immediately, check back in a bit. And once you try it out, let us know what you think.

We just released a new version of the Gmail app in Android Market, so Gmail updates aren’t tied to Android version releases anymore. Now you can get new Gmail stuff faster without having to wait for system updates. To start you off, we’ve improved message replies, access to quoted text, and more.

As you scroll through a conversation, your most important message actions will now stick to the top of the screen, one click away, no matter how long the email is.

Don't remember what prompted the most recent email in a thread? Now you can view previous message content more easily, just like in the desktop version of Gmail. Tap “Show quoted text” to reveal the previous message.

Finally, this updated version of the Gmail app has limited support for Priority Inbox. If you’ve enabled Priority Inbox via the desktop version of Gmail, you’ll see an “Important” label that shows all messages flagged as important. You can even add a shortcut to “Important” to your home screen.

The Gmail update requires Froyo (Android version 2.2), so it’s available if you have a Nexus One, HTC EVO, Motorola Droid 2 or Motorola Droid. (Not sure if your device is running Android version 2.2? Check here.)

Update 9/21/10 12:26pm PDT: There is a known issue where the headers don't stick properly on some HTC phones like the EVO 4G and Droid Incredible. We are working to address this.



If you use video chat in Gmail, you might be interested in a new Labs feature we just rolled out that allows you to preview new video chat features before they're turned on for everyone. Visit the Gmail Labs tab under Settings, turn on "Video chat enhancements," and right away, you'll see higher resolution video and a bigger video chat window.



The higher resolution video uses a new playback mechanism which enables widescreen VGA and frees up valuable resources on your computer. For it to work, both you and the person you're chatting with will need to have the lab turned on. Remember that you can always revert to standard video chat by disabling the lab.

We plan to add more video chat enhancements to this lab in the future, so if you have it on you'll automatically get those too. Feel free to post your comments or report any issues you encounter in the video chat forum (we also follow #googlevideochat on Twitter).



It’s been a week since we launched Priority Inbox, and now that you've hopefully had a chance to try it out, we wanted to share some tips to help you manage your email more efficiently. Here are five ways you can make Priority Inbox work even better for you:

1. Customize your sections
By default, Priority Inbox has three sections: "Important and Unread," "Starred" and "Everything Else.” But that doesn't mean you have to leave them that way. You can make a section show messages from a particular label (like your “Action” or “To-do” label), add a fourth section, or change the maximum size of any section. Visit the Priority Inbox tab under Settings to customize your sections, or do it right from the inline menus.



2. Train the system
If Gmail makes a mistake, you can help it learn to better categorize your messages. Select the misclassified message, then use the importance buttons at the top of your inbox to correctly mark it as important or not important.



For those of you who can't live without keyboard shortcuts, don’t worry, you can use the "+" and "-" keys to adjust importance as well.

3. See the best of your filtered messages
You can set up Priority Inbox to show you not just the best of your inbox, but also the best of messages you filter out of your inbox and might otherwise miss. Just change your Priority Inbox settings to “Override filters” and Gmail will surface any important messages that would otherwise skip your inbox.



With this option turned on, you can use filters to archive more aggressively and worry less about missing an important message.

4. Use filters to guarantee certain messages get marked important (or not)
If you read and reply to a lot of messages from your mom, Gmail should automatically put incoming messages from her in the “Important and unread” section. But if you want to be 100% sure that all messages from your mom (or your boss, boyfriend, client, landlord, etc.) are marked important, you can create a filter for messages from that sender and select “Always mark as important.” Similarly, if you regularly read messages from your favorite magazine, they should automatically get marked as important. If you’d rather they end up in the “Everything else” section, you can create a filter to never mark them as important.

5. Archive unimportant messages quickly
One of the features that can help make you more efficient is the ability to archive all of the visible messages in the "Everything Else" section at once. Just click on the down arrow next to "Everything Else" and select the "Archive all visible items" option. If you want to be able to archive even more messages at once, you can increase the maximum number of messages that show in that section from the same drop-down.

Long, complicated and lawyerly—that's what most people think about privacy policies, and for good reason. Even taking into account that they’re legal documents, most privacy policies are still too hard to understand.

So we’re simplifying and updating Google’s privacy policies. To be clear, we aren’t changing any of our privacy practices; we want to make our policies more transparent and understandable. As a first step, we’re making two types of improvements:
  1. Most of our products and services are covered by our main Google Privacy Policy. Some, however, also have their own supplementary individual policies. Since there is a lot of repetition, we are deleting 12 of these product-specific policies. These changes are also in line with the way information is used between certain products—for example, since contacts are shared between services like Gmail, Talk, Calendar and Docs, it makes sense for those services to be governed by one privacy policy as well.
  2. We’re also simplifying our main Google Privacy Policy to make it more user-friendly by cutting down the parts that are redundant and rewriting the more legalistic bits so people can understand them more easily. For example, we’re deleting a sentence that reads, “The affiliated sites through which our services are offered may have different privacy practices and we encourage you to read their privacy policies,” since it seems obvious that sites not owned by Google might have their own privacy policies.
In addition, we’re adding:
  • More content to some of our product Help Centers so people will be able to find information about protecting their privacy more easily; and
  • A new privacy tools page to the Google Privacy Center. This will mean that our most popular privacy tools are now all in one place.
These privacy policy updates will take effect in a month, on October 3. You can see the new main Google Privacy Policy here, and if you have questions this FAQ should be helpful.

Our updated privacy policies still might not be your top choice for beach reading (I am, after all, still a lawyer), but hopefully you’ll find the improvements to be a step in the right direction.



People tell us all the time that they’re getting more and more mail and often feel overwhelmed by it all. We know what you mean—here at Google we run on email. Our inboxes are slammed with hundreds, sometimes thousands of messages a day—mail from colleagues, from lists, about appointments and automated mail that’s often not important. It’s time-consuming to figure out what needs to be read and what needs a reply. Today, we’re happy to introduce Priority Inbox (in beta)—an experimental new way of taking on information overload in Gmail.

Gmail has always been pretty good at filtering junk mail into the “spam” folder. But today, in addition to spam, people get a lot of mail that isn't outright junk but isn't very important—bologna, or “bacn.” So we've evolved Gmail's filter to address this problem and extended it to not only classify outright spam, but also to help users separate this "bologna" from the important stuff. In a way, Priority Inbox is like your personal assistant, helping you focus on the messages that matter without requiring you to set up complex rules.



Priority Inbox splits your inbox into three sections: “Important and unread,” “Starred” and “Everything else”:



As messages come in, Gmail automatically flags some of them as important. Gmail uses a variety of signals to predict which messages are important, including the people you email most (if you email Bob a lot, a message from Bob is probably important) and which messages you open and reply to (these are likely more important than the ones you skip over). And as you use Gmail, it will get better at categorizing messages for you. You can help it get better by clicking the or buttons at the top of the inbox to correctly mark a conversation as important or not important. (You can even set up filters to always mark certain things important or unimportant, or rearrange and customize the three inbox sections.)

After lots of internal testing here at Google, as well as with Gmail and Google Apps users at home and at work, we’re ready for more people to try it out. Priority Inbox will be rolling out to all Gmail users, including those of you who use Google Apps, over the next week or so. Once you see the "New! Priority Inbox" link in the top right corner of your Gmail account (or the new Priority Inbox tab in Gmail Settings), take a look.
