What’s changing
As part of our commitment to user safety, Google Workspace will no longer support the sign-in method for third-party apps or devices that require users to share their Google username and password. This antiquated sign-in method, known as Less Secure Apps (LSAs), puts users at an additional risk since it requires sharing Google Account credentials with third-party apps and devices that can make it easier for bad actors to gain unauthorized access to your account.

Instead, you’ll need to use the option to Sign-In with Google, which is a safer and more secure way to sync your email to other apps. Sign-in with Google leverages industry standard and more secure OAuth method of authentication already used by the vast majority of third-party apps and devices.

We previously announced this change in 2019, and are now ready to share an updated timeline regarding this change:

Access to Less Secure Apps (LSA) will be turned off in two stages:
  1. Beginning June 15, 2024:
    • The LSA settings will be removed from the Admin console and can no longer be changed. Enabled users can connect during this time, but disabled users will no longer be able to access LSAs. This includes all third-party apps that require password-only access to Gmail, Google Calendar, Contacts via protocols such as CalDAV, CardDAV, IMAP, SMTP, and POP.

    • The IMAP enable/disable settings will be removed from users’ Gmail settings.

    • If you’ve been using LSAs prior to this date, you can continue using them until September 30, 2024.

  2. Beginning September 30, 2024:

As part of this change, Google Sync will also be sunsetted:
  • Beginning June 15, 2024: New users will not be able to connect to Google Workspace via Google Sync.
  • September 30, 2024: Existing Google Sync users will not be able to connect to Google Workspace. Here is how you can transition your organization off Google Sync. To find Google Sync usage in your organization, please go to the Admin Console, navigate to Devices > Mobile & Endpoints > Devices, and filter by Type: Google Sync.

See below for more specific guidance for admins, end users, and developers regarding this change.

Who’s impacted
Admins and end users

Getting Started
Admins
Preparing your end users
In order for your end users to continue using these types of apps with their Google Workspace accounts, they must switch to a more secure type of access called OAuth. You’ll receive more information via email with affected users in your organization in the coming months. We recommend that you share the user instructions (included below) to help them make the necessary changes.

Mobile Device Management (MDM) Impact
If your organization uses a mobile device management (MDM) provider to configure IMAP, CalDAV CardDAV, POP or Exchange ActiveSync (Google Sync) profiles, these services will be phased out according to the timeline below:

June 15, 2024

MDM push of password based IMAP, CalDAV, CardDAV, STMP, POP and Exchange ActiveSync (Google Sync) will no longer work for customers who try to connect to an LSA for the first time.

If you use Google Endpoint Management, you will not be able to turn on "Custom Push Configuration" settings for CalDAV and CardDAV.

September 30, 2024

MDM push of password based IMAP, CalDAV, CardDAV, SMTP and POP will no longer work for existing users. Admins will need to push a Google Account using their MDM provider, which will re-add their Google accounts to iOS devices using OAuth.

MDM push of password based Exchange ActiveSync (Google Sync)  will no longer work for existing users. Admins will need to push a Google Account using their MDM provider, which will re-add their Google accounts to iOS devices using OAuth.

If you use Google Endpoint Management, “Custom push configuration-CalDAV” and “Customer push configuration-CardDAV” (more details about the settings here) will stop being effective.

Scanners and other devices
If you have scanners or other devices using simple mail transfer protocol (SMTP) or LSAs to send emails, you’ll need to either: configure them to use OAuth, use an alternative method, or configure an App Password for use with the device.

End users
If you are using an app that accesses your Google Account with only a username and password, take one of the following actions to continue to access your email, calendar, or contacts. If you do not take one of the following actions by September 30, 2024, you will begin receiving an error message that your username-password combination is incorrect and you will not be able to log in.

Email Applications

Outlook 2016 or Earlier

Move to Microsoft 365 (formerly known as Office 365, a web-based version of Outlook) or Outlook for Windows or Mac, both of which support OAuth access.

Alternatively you can use Google Workspace Sync for Microsoft Outlook

Thunderbird or another email client

Re-add your Google Account and configure it to use IMAP with OAuth.

The mail app on iOS or MacOS, or Outlook for Mac and use only a password to login

You’ll need to remove and re-add your account. When you add it back, select “Sign in with Google” to automatically use OAuth.

MacOS:

iOS:

Calendar Applications
  • If you use an app that uses password based CalDAV to give access to your calendar, switch to a method that supports OAuth. We recommend the Google Calendar app [Web/iOS/Android] as the most secure app to use with your Google Workspace account.
  • If your Google Workspace account is linked to the calendar app in iOS or MacOS and uses only a password to login, you’ll need to remove and re-add your account to your device. When you add it back, select “sign in with Google” to automatically use OAuth. Read more.

Contacts Applications
  • If your Google Workspace account is syncing contacts to iOS or MacOS via CardDAV and uses only a password to login, you’ll need to remove your account. When you add it back, select “sign in with Google” to automatically use OAuth. Read More.

  • If your Google Workspace account is syncing contacts to any other platform or app via CardDAV and uses only a password to login, switch to a method that supports OAuth.

All Other Applications
If the app you are using does not support OAuth, you will need to switch to an app that offers OAuth or create an app password to access these apps.

Developers
To maintain compatibility with Google Workspace accounts, update your app to use OAuth 2.0 as a connection method. To get started, follow our developer guide on using OAuth 2.0 to access Google APIs. You can also refer to our guide on OAuth 2.0 for mobile & desktop apps

Users with personal Google accounts: In the coming weeks we will be removing the IMAP enable/disable toggle from your Gmail settings. IMAP access is always enabled over OAuth and your current connections will not be impacted. No action is required of users.

Availability
  • This change impacts all Google Workspace customers.

What’s changing
We’re expanding client-side encryption in Gmail to Android and iOS devices, so you can read and write encrypted messages directly from your device. This allows your users to work with your most sensitive data from anywhere on their mobile devices while adhering to compliance and regulatory requirements. The Gmail mobile apps support encrypted mail natively, so users don't need to download multiple apps, or navigate to an external portal, to access their encrypted messages.

While Workspace encrypts data at rest and in transit by using secure-by-design cryptographic libraries, client-side encryption ensures that you have sole control over encryption keys and access to your data. Client-side encryption ensures sensitive data in the email body and attachments are indecipherable to Google servers — you retain control over encryption keys and the identity service to access those keys. For more information, check out our original announcement and the Workspace blog.

Getting started
  • Admins: Admin will need to enable the Android and iOS clients in the CSE admin interface in order for users to have access. This can be done in the Admin Console by going to Security > Access and data control > Client-side encryption > Identity provider configuration.
  • End users: To add client-side encryption to any message, click the lock icon and select additional encryption, and compose your message and add attachments as normal. Visit the Help Center to learn more about using client-side encryption for Gmail.

What’s changing

We’re introducing AI-powered writing features that help you quickly refine existing work or get you started with something new in Google Docs and Gmail using Duet AI for Google Workspace

On web and mobile, you can draft and reply to messages in Gmail. Upon selecting the Help me write button, you can choose between the following options:
  • Write your draft: Use your own words to describe the message you’d like to draft. Help me write also understands the context from previous messages in an email thread to craft reply drafts that are relevant to the conversation.
  • Formalize your draft: Change the tone of your draft to be more formal.
  • Elaborate on your draft: Add further detail to your email message to build on the draft.
  • Shorten your draft: Decrease the length of your email draft.
  • I’m feeling Lucky: Introduce fun variations on tone and style for content you’ve drafted.

Whether you’re setting up a meeting with a prospective client or reworking an intro email for a new team member, Help me write in Gmail saves you the time by eliminating the tedious task of writing emails and provides the right tone and style for any message occasion.

Using Help me write in Docs, simply type a few words describing a topic you’d like to write about and a draft will be instantly generated for you. You can see suggestions as needed and refine the generated content further with the following options:
  • Tone: Change the tone of the content to be more casual or more formal.
  • Summarize: Generate a summary for an entire document or a section.
  • Bulletize: Use bullets to represent your text.
  • Elaborate: Add further detail to build on the generated text.
  • Shorten: Make your content more concise by decreasing its length.
  • Retry: Receive a different generated draft based on your description.
  • Custom: Provide your own instruction to refine the generated content.
Whether you’re a recruiter drafting a customized job description or an account executive drafting a sales pitch, Help me write saves you the time and effort of writing the first version of a document by enabling you to focus on bringing your ideas to life instead of conquering a blank page.

Update

[September 28, 2023] Rollout has resumed.
[September 8, 2023] We have paused rollout for this feature while we evaluate performance and quality. We will provide an update once rollout resumes.

What’s changing

Last year, we introduced stronger safeguards around sensitive actions taken in your Google Workspace accounts. We’re extending these protections to sensitive actions taken in Gmail, specifically actions related to:
  • Filters: creating a new filter, editing an existing filter, or importing filters.
  • Forwarding: Adding a new forwarding address from the Forwarding and POP/IMAP settings.
  • IMAP access: Enabling the IMAP access status from the settings. (Workspace admins control whether this setting is visible to end users or not)

When these actions are taken, Google will evaluate the session attempting the action, and if it’s deemed risky, it will be challenged with a “Verify it’s you” prompt. Through a second and trusted factor, such as a 2-step verification code, users can confirm the validity of the action. If a verification challenge is failed or not completed, users are sent a “Critical security alert” notification on trusted devices.

If a risky action is taken, you'll be prompted with a "Verify it's you" challenge.

Additional details
Note that this feature only supports users that use Google as their identity provider and actions taken within Google products. SAML users are not supported at this time. See below for more information.

Why it matters
This highly requested feature will help users read and understand a conversation in any language.

Additional details
A new dismissible banner appears when the content language of a message is different from the “Google.com Mail display language” in your account settings. You can also choose to have Gmail always translate or never translate specific languages.

Getting started
  • Admins: There is no admin control for this feature.
  • End users:
    • To translate a message, click the “Translate” option at the top of your email.
    • If you dismiss the translation option, the option will appear again the next time the content language of an email doesn't match the set “Google.com Mail display language”.
    • You can also turn off this setting, which never shows the banner again for a specific language, by accepting the prompt (“Don’t translate [language] again”) that appears when you dismiss the banner, or by selecting "Don't translate [language] again" from the translation settings menu.
    • If a user has explicitly opt-ed out of translation (as stated above) or the system did not detect another language, you can manually translate a message through the three dot menu.

Rapid Release Domains:

What’s changing
We’re adding a feature into Gmail that helps you find convenient 1:1 meeting times with others much quicker. This is especially useful when scheduling time with customers, partners or people in your organization whose Google Calendars are not visible to you.
Negotiate time directly in Gmail to schedule meetings faster

While composing an email, you will see a new Calendar icon with all Calendar-related actions consolidated and easily discoverable. You can:
  • Offer times you’re free: This option opens up your calendar on the right. You can select and insert proposed meeting times directly from your calendar into the email without leaving Gmail. The recipient of the email can then review the proposed times and select one directly from the email to automatically get an email with a calendar invite.
  • Create an event: This is a quick way to schedule a meeting and share the event information back in the email. Starting the flow opens up a calendar event creation on the right with the recipients and title pre-filled from the email. An event summary will automatically be inserted into the email body for easy sharing. Previously, this feature was available in the three dot menu on top of the email conversation view.

What’s changing
We’re introducing two new features for client-side encryption in Gmail which will help you quickly identify ineligible recipients and any attachments that may be blocked:

When you’re composing a Gmail message using client-side encryption, any recipient who is not able to receive encrypted messages will be denoted with a red chip. The email will not be able to be sent until those recipients are removed.

Email recipients who cannot receive encrypted messages will be highlighted in red.

Gmail blocks attachments that may spread viruses, like messages that include executable files or scripts. If you receive a client-side encrypted message in Gmail, we’ll automatically check if any attachments are blocked file types. If there are blocked file types, you’ll see a warning banner and you won’t be able to download the file.

Why it’s important
With mail merge you can send more personalized and engaging emails to large audiences from web Gmail.

Additional details
With this update, mail merge will fully replace multi-send. We’re also moving the icon for mail merge from the main compose toolbar at the bottom of your email draft to the top-right corner of your compose window. You can still use mail merge without linking a Sheet, using the built-in merge tags: @firstname, @lastname, @fullname, and @email.

Like multi-send, mail merge emails contain a unique unsubscribe link for each recipient by default. Recipients who unsubscribe from your emails are automatically excluded from future mail merge emails you send.

      • Turn on mail merge using the icon in the top-right corner of a new compose tab.
      • Click Add from a spreadsheet and select which Sheet you want to use for recipient data.
        • The Sheet must contain at least one column of email addresses and one column with recipient names.
Mail Merge + Add from a spreadsheet
        • Note: Your recipient data must be in the first tab of the Sheet.
        • Note: Users are limited to 1,500 mail merge recipients or messages per day, and you can't use Cc or Bcc when recipients are added from a Sheet.
      • Next, you will see a Finish linking spreadsheet dialog:
        • Choose the columns that contain recipients’ email addresses and names.
      • To insert merge tags to your draft:
        • Type “@” in your draft to show a list of available merge tags.
        • Every valid column in the first tab of your Sheet should be available as a merge tag.
        • Insert the desired merge tag by pressing Enter or by clicking on the tag.
        • Note: Merge tags can’t be used in the subject line or in links.
