Along with our new name, today we’re announcing a number of new features to help employees work together as teams on strategic and creative projects to better serve their customers. Two of these features are coming soon as Early Adopter Programs:

Drive for teams
When Google Drive launched in 2012, bringing all of your work to all of your devices was a key focus. Today, with Drive installed on more than one billion smartphones, mobility is a given. As businesses have adopted Google Drive, a new focus has emerged: teams. Teams move fast, they grow, they shrink, they’re rebuilt. In order to keep pace, a new capability called Team Drives redefines the model, shifting from a focus on the individual user to a focus on the team. Content ownership and sharing are managed at the team level, and new roles give more granular control over team content. Team Drives help streamline teamwork from end-to-end, from onboarding a new team member (add her to the team and she instantly has access to all of the work in one place) to offboarding a departing team member (remove him from the team and all of his work stays right in place), and everything in-between. We’ve been previewing Team Drives with a small set of customers, and we’ll be extending this capability to more customers through an Early Adopter Program.*

Meetings for teams
Teams extend beyond office walls — spanning countries and companies — and video meetings have become critical to bringing teams together. No matter where you’re sitting or even when you’re on the go, you expect to be plugged in so you never have to worry about missing a thing. A new meeting experience for Google Hangouts makes this exceedingly easy: no downloads, no browser plugins, invite anyone, join from any device, even without an account or a data connection. Every meeting generates a short link and dial-in phone number so you can invite anyone without friction. An updated user interface accommodates up to 50 video participants, and with seamless integration into Calendar and instant screen sharing, your team will be better connected than it ever was before. Like Team Drives, we’ve been previewing this new meeting experience with a small set of customers and we’ll be extending this to more customers through an Early Adopter Program.

Some topics are best discussed in face-to-face meetings, but setting them up takes too much time. Whether you’re coordinating across time zones, hunting for a room, or just trying to find a time that works for more than a couple of people — it really adds up.

If you’re using G Suite, “Find a time” already lets you set up meetings much faster in Calendar on Android. Today it’s coming to iOS and by the end of the year, the web. We’re also adding smart room booking, so you can easily find a place to meet as well.

Powered by Google’s machine intelligence, “Find a time” suggests meeting times and available rooms based on your preferences, which saves you lots of time and gets everyone together faster. Time and room suggestions are smart, too: They don’t just identify the first free slot in a grid, they also locate the next best slots as a back-up. For example, when Calendar doesn’t find availability for your preferred time, it then looks for conflicts across the group that are easier to resolve, such as recurring 1:1 meetings. And although “Find a time” makes smart suggestions, you're always in control — just tap the grid to pick a time that's a better fit.

Today, we’re launching Quick Access, which shaves 50 percent off the average time it takes to get to the right file by eliminating the need to search for it. It uses machine learning to intelligently predict the files you need before you’ve even typed anything.



Quick Access predictions are based on an understanding of your Drive activity, as well as your interaction with colleagues and your workday patterns such as recurring team meetings or regular reviews of forecasting spreadsheets.

Starting today, Quick Access will be available globally for G Suite customers on Android. Give it a try, and file away the time you save for more productive activities.

We want to make you aware of a small change to the GOOGLEFINANCE function, which makes it easy to pull current or historical securities information directly into your spreadsheets in Google Sheets. Starting today, it will not be possible to download historical data or access it outside of Sheets using Apps Script or an API. If you have a spreadsheet with historical data generated from the GOOGLEFINANCE function and you try to download it or access it via Apps Script or an API, the corresponding cells will show “#N/A.” You will still be able to view that historical data from within the Sheets application, and you will still be able to download current data and access current data via Apps Script or an API. Please keep this in mind when using the GOOGLEFINANCE function going forward.

Starting today, you can use “regular expressions” to more quickly and easily find what you’re looking for in Google Docs on the web, much like you can in Google Sheets. With regular expressions, you can search for patterns of text, lists of words, and more, instead of single words or phrases.

For instance, imagine you need to find all the US zip codes referenced in a lengthy document. To do so, you can simply search for [0-9]{5}(-[0-9]{4})?. This will identify any zip code in your document consisting of five numbers with an optional hyphen and four-digit add-on.


To use regular expressions in the Find and Replace function, type the expression into the Find box and check the "Match using regular expressions" box. For more details, including info on those expressions that are supported in Docs, check out the Help Center.

If you’re a current Google Apps customer, we’re making it easier than ever to set up Chrome device management for managing employee Chrome devices — directly from your Admin console. We’re also offering a free trial of Chrome device management for 60 days and up to 10 devices*.
With Chrome device management, you can manage and configure more than 200 features and settings for your Chrome device fleet (and you can buy devices from our Chrome Store). These settings provide added security for your employee and business data, tools for improved employee productivity, and time savings with easier device management.

As an administrator, Chrome device management lets you easily configure Chrome features for users, set up Chrome device access to Wi-Fi networks and VPNs, automatically install Chrome extensions and apps, and more. You can apply each setting to specific sets of users, devices, or to everyone in the organization. For example, you can configure a device to automatically connect to a specific network or restrict devices from a specific network.

You can also manage public session devices where multiple users can share the same Chrome device without the need to sign in with a username and password. For example, you can use public sessions to configure Chrome devices for use as kiosks, loaner devices, shared computers or any other work-related purpose in which users don't need to sign in.

To help Google Apps admins monitor and analyze their organizations’ Google Drive content, we offer audit logs in the Reports > Audit > Drive section of the Admin console, as well as via the Reports API. Today’s launch brings the following improvements to that reporting, making it even more useful for you:

  • If a user outside of your domain views or takes action on a document explicitly shared with them (as an individual or as part of a specific group), we will now show that event and that user’s details. Previously, this would be recorded as an anonymous user event.
  • If a user outside of your domain takes action on a document shared with the public via link sharing, we will now show that event in the audit logs as an anonymous user edit event. Previously, only anonymous user views were recorded.
  • In addition to the customer usage and user usage reports already in the Reports API, we will now show aggregated statistics around user behavior, like creating, editing, viewing, and trashing. These new metrics will only be accessible via the Reports API.


Please note that the first two features above are only available to customers with Google Apps Unlimited and Google Apps for Education.

Late last year, we announced a planned change to our security policy, whereby OAuth 2.0 tokens would be revoked when a user's password was changed. We later decided not to move forward with this change for Apps customers and began working on a more admin-friendly approach, which is now ready to be rolled out.

To achieve the security benefits of this policy change with minimal admin confusion and end-user disruption, we’ve decided to initially limit the change to mail scopes only, and to exclude Apps Script tokens. Apps installed via the Google Apps Marketplace are also not subject to the token revocation. Once this change is in effect, third-party mail apps like Apple Mail and Thunderbird―as well as other applications that use multiple scopes that include at least one mail scope―will stop syncing data upon password reset until a new OAuth 2.0 token has been granted. A new token will be granted when the user re-authorizes with their Google account username and password.

Mobile mail applications are also included in this policy change. For example, people who use Apple’s mail application on iOS will now have to re-authorize with their Google account credentials when their password has been changed. This new behavior for third-party mobile mail apps aligns with the current behavior of the Gmail apps on iOS and Android, which also require re-authorization upon password reset.

Please see this Help Center article and FAQ for more details. The policy change is scheduled to take effect on October 5, 2016. Moving forward, any additional scopes to be added to the policy will be communicated in advance.

Please note that password changes alone should not be relied upon for account security. If you suspect an account may be compromised, use the checklist in the Help Center to ensure that your users' accounts are secure.
